Navigating the complexities of client onboarding, a critical yet often challenging phase in regulatory compliance, is set to become more streamlined and less error-prone thanks to a significant update from KYCP. The company has released version 2.1.6 of its Customer Outreach Tool (COT), a RegTech solution designed to simplify the process of onboarding intricate organizational structures. This latest iteration aims to accelerate the process, improve clarity, and reduce the incidence of mistakes in applications.

A key innovation in COT 2.1.6 is a novel, stepped approach to constructing company structure charts. Moving beyond the limitations of traditional list views, the new system allows users to visually map out entire ownership hierarchies with unprecedented speed. The platform intelligently guides users, indicating which related parties can be associated with specific parent entities. This guidance is powered by no-code rules that administrators can configure, ensuring accuracy and adherence to internal policies. KYCP emphasizes that this feature is geared towards achieving ‘right-first-time’ applications, minimizing the number of clicks and potential errors.

Enhanced Flexibility in Application Creation

The update also introduces greater flexibility for administrators in how applications are created and presented. A new Application Creation View enables administrators to assign custom display names to applications. These custom names can be linked to existing programs, and multiple display names can effectively point to the same underlying program, offering significant organizational benefits. Furthermore, administrators can now include an HTML-formatted creation message. This ensures that users receive crucial guidance, instructions, or prerequisite information directly within the application interface before they commence the onboarding process.

Streamlining Simpler Onboarding Scenarios

Recognizing that not all onboarding processes are equally complex, KYCP has introduced specific enhancements for simpler, single-entity applications. In scenarios where a root entity does not permit child entities, COT 2.1.6 now intelligently bypasses the Structure page altogether. Users are directed straight to the Edit Entity screen, with irrelevant menus hidden and actions like ‘add’ or ‘remove’ disabled. This targeted streamlining significantly cuts down on unnecessary navigation and cognitive load for users dealing with straightforward cases.

Improving User Experience Through Language and Interface Design

Beyond structural and navigational improvements, COT 2.1.6 addresses the user experience through more intuitive language and a redesigned interface. The Alternate COT Status Names feature allows firms to replace internal workflow labels with more user-friendly alternatives. For instance, a status like ‘Incomplete’ can be presented as ‘Mandatory Fields Missing,’ enhancing clarity for end-users without affecting the underlying KYCP status or disrupting existing system integrations.

Redesigned Application Interface for Clarity

The most visually apparent change is the revamped application interface. Extensive lists of fields have been replaced by clearly delineated sections. Each section now features distinct completion indicators, providing immediate feedback on its status: ‘not started,’ ‘missing mandatory fields,’ or ‘complete.’ This enhanced visibility extends to accompanying documents and questionnaires. A new percentage completion indicator offers users a precise measure of their progress toward final submission.

Breaking Down Complex Sections

To further aid user comprehension and task completion, administrators have the ability to break down lengthy sections into smaller, manageable ‘Steps.’ This is achieved within KYCP using the Divider Step field type. These steps are navigated using simple ‘next’ and ‘previous’ controls, making complex forms feel less daunting.

Advanced Lookup Field Options

Lookup fields, essential for data selection, have also received a significant upgrade. COT 2.1.6 introduces new display styles, including radio buttons, checklists, and a visual card view. Additionally, administrators can now configure descriptive text for both standard lookup and remote lookup values, providing users with better context and understanding when making selections.
